Privacy policy
Last updated 11 August 2026
1. Who we are
WorkinEU Human Resources Consultancies L.L.C (“WorkinEU HR”, “we”) is a recruitment consultancy registered in Dubai, United Arab Emirates. We are the data controller for the information described in this policy. For any privacy question or request, contact workineuhr@gmail.com.
2. What we collect
We collect only what a work permit and visa application actually requires.
| Category | Examples | Why |
|---|---|---|
| Identity & contact | Name, phone, WhatsApp number, email, nationality, country of residence | To contact you and to match you to vacancies you are eligible for |
| Employment history | CV, years of experience, trade or skill, language level | Employer screening and shortlisting |
| Official documents | Passport copy, police clearance certificate, medical certificate, qualification certificates | Mandatory for work permit filing and embassy visa submission |
| Application record | Which vacancy you applied to, your current stage, coordinator notes | To process your file and show you your progress |
| Technical | A one-way hash of your IP address at the moment of submission | Abuse and spam prevention only. We do not store your raw IP address |
3. Lawful basis
- Contract and pre-contract steps — processing your application, arranging interviews, filing permits and visas.
- Legal obligation — records we must keep under UAE recruitment law and destination-country labour and immigration law.
- Consent — where we ask separately, for example to keep your profile on file for future vacancies after a placement closes. You may withdraw consent at any time.
4. Who we share it with
Your file is shared only with parties who need it to place you:
- The specific prospective employer or their appointed EU representative;
- Government bodies — labour ministries, embassies, consulates and VFS Global;
- Certified translators, document attestation services and, where required, licensed medical examiners;
- Our infrastructure providers, who process data on our instructions only — our database, encrypted file storage and email delivery provider.
We do not sell your data, and we do not share it with other recruitment agencies or advertisers.
5. How documents are stored
Uploaded documents are held in private encrypted storage. They are not publicly addressable: no document can be opened from a guessable link. Access is limited to authenticated WorkinEU HR staff working on your file, through short-lived signed links, and every stage change on your application is logged with the staff member who made it.
6. Your tracking link
Each applicant receives a private tracking link containing a random token. Anyone holding that link can see your application stage, so treat it as confidential and do not post it in public groups. It shows your stage and the role you applied for; it never exposes your documents or internal notes. Ask us to reissue it if you believe it has been shared.
7. How long we keep it
- Active applications — for the duration of processing and while you are employed through a placement we arranged.
- Unsuccessful or withdrawn applications — up to 24 months, so we can consider you for future vacancies, then deleted.
- Records required by law — for the retention period the relevant UAE or destination-country authority requires.
8. Your rights
Subject to applicable law, including GDPR where it applies to processing connected to your EU placement, you may request: access to your data, correction of inaccurate data, deletion, restriction of processing, a portable copy, and withdrawal of consent. You may also object to processing based on legitimate interests.
Email workineuhr@gmail.com. We respond within 30 days. Deleting an in-progress application will normally end that application, because a permit or visa cannot be filed without the underlying documents.
9. Children
Our services are for adults seeking employment. We do not knowingly collect data from anyone under 18. If you believe we have, contact us and we will delete it.
10. International transfers
Placing you in the European Union requires transferring your data from your country of residence and from the UAE to the destination country. By applying you understand this transfer is inherent to the service. We transfer only what the employer, ministry or embassy requires.
11. Changes
We will update the date at the top of this page when this policy changes. Material changes affecting how we use your documents will be notified to active applicants directly.
